Salary: £25,500 to £27,000 per annum (pro rata), depending on experience
Location: Findhorn Village Centre, Church Place, Findhorn, IV36 3YR
Working pattern: Flexible working across 4 to 5 days, by agreement
Wild Things is looking for a fabulous new Administrator to join our team.
Wild Things is an award winning environmental education charity working in the Northeast of Scotland since 2003. We are looking for an organised and personable Administrator to keep our office, finance, booking and systems administration running smoothly, and to provide a professional first point of contact for our participants, clients and funders.
This part time role offers flexible working across 4 to 5 days a week by agreement. It is a great opportunity to join a passionate, dynamic, small charity, working closely with the Chief Executive Officer and wider team to support our environmental education work across the Northeast of Scotland.
What you will do
- Manage office administration, supplies, compliance checks and general office housekeeping.
- Act as first point of contact for telephone, email and voicemail enquiries.
- Process bookings, create customer records and sales invoices, and issue confirmations and reminders.
- Maintain the CRM and learner databases, and produce participant lists and reports.
- Support safeguarding checks, PVG processes and GDPR compliant record keeping.
- Process purchase and sales invoices, petty cash and supplier payments through Sage.
- Register learners with awarding bodies and maintain accredited training records.
- Maintain website content and support wider organisational reporting.
What we are looking for
- Strong administration, organisational and time management skills, with the ability to manage multiple priorities.
- Excellent written and verbal communication and customer service skills.
- Proficiency with Microsoft 365, SharePoint, AI tools and database/CRM systems.
- Financial administration and invoicing experience (e.g. Sage or similar).
- A calm and practical approach to problem solving and a team player.
- An interest in and empathy for Wild Things’ charitable and environmental education values and objectives.
Website administration experience, third sector experience, or confidence setting up new systems and tools would be an advantage.
